Freelancers’ Professional Standards

We expect Advisable freelancers to conduct themselves in a professional manner in all interactions with clients and the Advisable team.

1. Timely, regular and professional communication

Timely:

From the moment you receive confirmation that you have been selected for a project until the moment that project closes, you are responsible for ensuring that the client is fully informed on the project status and anything that is required from them as next steps. Do not delay in contacting the client to keep them informed of any important changes (e.g. discussing kick-off details upon project commencement; discussing changes to the deliverables or scope as a project progresses; discussing adjusting the budgeted number of hours well in advance of hitting them).

Regular:

It may make sense to agree to a communication timeline upon project commencement – daily, twice per week, weekly (for longer or ongoing projects).

If in doubt, reach out: we have never received a single complaint from a client that a freelancer was overly communicative!

Professional:

Professional communications are well written and clear. They are also honest, not attempting to mislead nor ignoring any questions.

2. Expectation management

Ensure that clients are kept up to date of all expected deadlines and deliverables and inform them at the earliest opportunity of any changes to previously agreed upon details.

When defining deliverables and agreeing to them with clients it is often wise to set overly achievable deadlines and exceed expectations (i.e. to under promise and over deliver) than set unrealistic expectations and fall short.

3. Weekly progress reports

Advisable requires that all freelancers submit weekly timesheets to account for the work they have done that week.

In addition to aiding the billing process, these timesheets provide a paper trail of activities completed and enable effective project management by both client and freelancer alike.

4. Proactively flag issues

Always be proactive and make clients and/or the Advisable team aware of any issue as soon as it comes to light. Communicate proactively to raise the issue and how you propose it be dealt with. Ensure that you continue to follow up on your communications until you believe the issue has been dealt with in a satisfactory manner.

This applies to both minor issues (such as waiting to receive assets from a client), to major issues (such as concerns over your ability to deliver on agreed to project objectives).

5. “The client is right” attitude

At some stage in their career, all freelancers encounter clients that are difficult to deal with. However, at all times it is important to remain professional and prioritize client satisfaction. If you are concerned that a client may be unsatisfied or are encountering any other issue in dealing with a client, please flag this issue with the Advisable team as early as possible, before it escalates beyond repair.

6. Disintermediation attempt

Any attempt made by a Freelancer to disintermediate Advisable from the Client/Freelancer relationship will result in the immediate loss of all compensation due for any work with an Advisable client. This does not waive Advisable’s right to seek additional damages from the Freelancer to recoup our lost investment in identifying and matching them with a Client.

As part of our commitment to our freelancers, Advisable offers to reimburse you for the work you did in these 8 hours so long as the professional standards outlined above have been upheld. 

If you’re a freelancer and you’ve made it this far to secure a project, then we trust in you: we trust that you have the skills and experience to deliver on your project goals and we will do all we can to support you in this respect. We understand that difficult clients exist – that’s just the nature of the business – and we are prepared to take that risk on your behalf.

However, we do not tolerate any lapse in the professionalism of our freelancers. In the event of a client dispute, freelancers who do not adhere to these professional expectations will not be compensated and will be removed from the Advisable platform.

Client Professional Standards

In order to work with Advisable and our freelancers, we require all clients to adhere to the below Professional Standards.

Why do we require this?

Advisable is a professional freelancing platform. We connect professional freelancers with professional clients. To provide a quality experience for both parties, we work hard to ensure that clients have access to the best freelance talent, but similarly that freelancers have access to quality projects with professional clients.

What we expect from our Freelancers

We expect, indeed require, our freelancers to act professionally, so it is only fair that we hold our clients to these same standards.

  • Vetting: To be accepted onto our platform, Advisable demands a lot from our freelancers. We vet all candidates and require all our freelancers to undergo stringent reference checks
  • Availability: In order to respect client time in the interview and selection process, we require freelancers to hold availability when their project is open for consideration
  • Professional Standards: To ensure a quality experience for our clients, we require all our freelancers to adhere to these Freelancer Professional Standards on an ongoing basis

If a freelancer fails to pass these checks or fails to live up to these professional standards, we do not work with them.

What we expect from our Clients

We expect Clients to behave in a professional manner and engage in the recruitment process in a way that is respectful of freelancers’ and Advisable’s time.

1. Process engagement

As soon as a brief has been confirmed, the Advisable team is fully engaged in achieving a successful outcome on your behalf. Advisable immediately commences the work of identifying, vetting and screening suitable candidates. Candidates invest time in project applications and in setting aside availability for interviews. When, after this work, candidates have been proposed to you, a lack of engagement on your part renders this time investment as wasted and is disrespectful both to Advisable staff and freelancers.

We expect that you will fully engage with the process, including timely responses and honouring commitments as outlined below.

2. Timely responses

In particular, we expect a timely response in 3 scenarios:

  • Candidates proposed by Advisable: we expect the client to either arrange an interview or provide feedback on the candidate’s suitability in 3 days or less
  • Interview complete: we expect the client to provide feedback on the candidate interviewed in 3 days or less
  • Proposal sent by candidate post interview: we expect the client to either accept or provide feedback on the proposal in 3 days or less

3. Honour commitments

In particular, we expect clients to honour scheduled interview calls with freelancers.

If a client fails to live up to these professional standards, we may impose a penalty charge or decide not to work with them.

Recruitment Process – Penalty Charges

We do not want to charge any penalties: we want clients to find and hire great freelancers and freelancers to find and work with great clients.

That said, we charge the below penalty charges to reflect the admin costs and the damage to Advisable’s freelancer relationships incurred due to client behaviour in certain circumstances.

Note that penalty charges are capped at the deposit amount.

1. Lack of timely engagement

    • What? We charge an admin charge of $250 when clients do not engage with the recruitment process in a timely manner
    • Why? Freelancers lose availability and Advisable has to repeat the recruitment process
  • When?
    • Candidates proposed: once we have proposed a freelancer to you, you’ll have 3 business days to schedule an interview or provide feedback. If you need more time, please notify us to avoid a $250 admin charge
    • Proposal received: once you have received a proposal from a freelancer you’ve interviewed, you’ll have 3 business days to accept it or provide feedback. If you need more time, please notify us to avoid a $250 admin charge
  • How can you avoid this fee? Stay engaged – your account manager will send you multiple follow up emails that aim to prevent this situation arising

2. Disengagement

  • What? We charge an admin charge of $250 when clients disengage from the process for more than 5 business days
  • Why? Advisable’s freelancer relationships have been damaged due to freelancers investing time that has not been treated with respect
  • When? After 5 days of no action being taken on your behalf to further the project. If you need more time, please notify us to avoid a $250 admin charge
  • How can you avoid this fee? Stay engaged – your account manager will send you multiple follow up emails that aim to prevent this situation arising

3. Dishonoured commitments

  • What? We charge an admin charge of $250 when clients do not show up for a scheduled freelancer interview
  • Why? This represents the admin cost of rescheduling an interview and the damage done to Advisable’s freelancer relationships by freelancers investing time that has not been treated with respect
  • When? If you don’t show up for a call, we charge a penalty of $250. If you need to reschedule, please notify us in advance to avoid a $250 admin charge
  • How can you avoid this fee? Honour your commitments – your account manager will send you calendar invites and multiple emails that aim to prevent this situation arising

4. Disintermediation attempt

  • Any attempt made to disintermediate will result in the immediate forfeiture of your deposit. This does not waive our right to seek additional damages from the Client to recoup our lost investment in identifying and vetting a freelancer.

5. 3 strike rule

  • If you commit 3 penalties, we will inform any engaged freelancers, cancel your project, your deposit will be forfeited and you will have to resubmit a new project brief and deposit should you wish to recommence your search for a freelancer.

At any time in the process, Advisable reserves the right to refuse to begin or continue working with any client.
